  • Contact us directly by email, phone, or WhatsApp

Information you provide

  • Your name and email address

  • Any information you share in messages or during consultations

Information collected automatically

  • Basic analytics data (pages visited, device type) via anonymised website analytics
  • Cookie data — see Section 8

We do not collect sensitive personal data (such as medical or financial information) unless you choose to share it with us in the context of understanding your child's learning needs.

3. How We Use Your Data

We use your personal information to:

  • Respond to your enquiry and arrange a free consultation
  • Provide and manage tutoring sessions
  • Send session confirmations, reminders, and session notes
  • Issue invoices and process payments
  • Communicate progress updates and session plans
  • Comply with our legal and safeguarding obligations

We will never use your data for unsolicited marketing or share it with third parties for their own marketing purposes.

We rely on the following lawful bases under UK GDPR:

  • Legitimate interests — responding to your enquiry and providing the tutoring service you have requested
  • Contract performance — managing your tutoring arrangement, scheduling, and invoicing once you become a client
  • Legal obligation — maintaining records required by law, including for tax and safeguarding purposes
  • Consent — where you have explicitly agreed, for example when subscribing to any future newsletter or updates

5. Data Sharing

We do not sell your data. We only share it in the following limited circumstances:

Service providers

We use a small number of trusted third-party services to operate our website and business:

  • Hostinger — website hosting (servers located in the EU/EEA)
  • Contact Form 7 — contact form processing (data transmitted to our WordPress site, not stored externally)
  • Google Workspace / email provider — for email communication

These providers are only permitted to process your data as necessary to provide their services to us.

Legal requirement

We may disclose your data if required to do so by law, or in response to a valid request from a public authority (e.g. a court or government agency).

Safeguarding

As a provider of services to children, we are legally and ethically obliged to share relevant information with appropriate authorities if we have a safeguarding concern.

6. How Long We Keep Your Data

  • Enquiries that don't proceed to tutoring: deleted within 12 months of last contact
  • Active client records: retained for the duration of the tutoring relationship plus 3 years afterwards, to meet HMRC requirements
  • Financial records (invoices): retained for 6 years as required by tax law

After these periods, your data is securely deleted.

7. Your Rights

Under UK GDPR, you have the right to:

  • Access — request a copy of the personal data we hold about you
  • Rectification — ask us to correct inaccurate or incomplete data
  • Erasure — request that we delete your data, where there is no legal reason to retain it
  • Restriction — ask us to limit how we use your data in certain circumstances
  • Portability — receive your data in a structured, machine-readable format
  • Object — object to processing based on legitimate interests
  • Withdraw consent — at any time, where processing is based on consent

To exercise any of these rights, please contact us at hello@littlelearners.co.uk. We will respond within one calendar month.

If you are unhappy with how we have handled your data, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

8. Cookies

Our website uses cookies — small text files stored on your device — to help it function and to understand how visitors use it.

Essential cookies

These are required for the website to work and cannot be switched off. They are set in response to actions you take, such as submitting a form.

Analytics cookies

We may use anonymised analytics to understand how visitors use our site (e.g. which pages are most visited). No personally identifiable information is collected through analytics cookies.

You can control and delete cookies through your browser settings. Disabling cookies will not prevent you from using our website, although some features may work differently.

9. Security

We take reasonable technical and organisational measures to protect your personal data against unauthorised access, loss, or disclosure. Our website is served over HTTPS and hosted on a reputable platform with appropriate security controls.

No method of transmission over the internet is completely secure. If you have any concerns about the security of your data, please contact us.
