Terms & Conditions

Please read these Terms and Conditions carefully before booking tutoring sessions with Little Learners Tutoring. By booking a session, you confirm that you have read, understood, and agree to these terms.

1. Agreement

These Terms and Conditions form the basis of the agreement between Little Learners Tutoring ("the Tutor", "we", "us") and the parent or guardian ("the Client", "you") who books tutoring sessions on behalf of a child ("the Student").

These terms apply to all tutoring sessions whether delivered in-person or online. By making a booking, you agree to be bound by these terms.

2. Booking & Confirmation

A booking is confirmed when:

  • You have received written confirmation from us (by email or message), and
  • A session date and time have been agreed

We recommend a free 20-minute consultation before committing to regular sessions. This is not a tutoring session and carries no obligation on either side.

Bookings can be made via the contact form on our website, by email, or by phone/WhatsApp. All agreed session details will be confirmed in writing.

3. Sessions

Session types

We offer the following session formats:

  • One-to-One (1:1): individual sessions tailored entirely to your child
  • Small Group (up to 4 students): structured group sessions covering shared curriculum topics

Duration

Standard sessions are 60 minutes. Session length may be adjusted by agreement for younger children or specific needs.

Online sessions

Online sessions are delivered via video call (e.g. Zoom or Google Meet). The Client is responsible for ensuring a suitable device, stable internet connection, and a quiet working environment for the Student.

In-person sessions

In-person sessions take place at a pre-agreed location. The Client is responsible for ensuring the Student arrives on time and is collected promptly at the end of each session.

Punctuality

Sessions start at the agreed time. If a Student arrives late, the session will still end at the scheduled time and the full fee applies.

4. Fees & Payment

Rates

Current session rates are set out on our Services page and will be confirmed in writing before your first booking. Rates are reviewed periodically; we will give at least four weeks' written notice of any change.

Payment terms

  • Payment is due within 7 days of invoice, or in advance as agreed
  • Invoices are issued monthly (for regular clients) or per session (for ad-hoc bookings)
  • Accepted payment methods: bank transfer (BACS). Details will be provided on the invoice.

Late payment

If payment is not received within 14 days of the invoice due date, we reserve the right to pause or cancel future sessions until the outstanding balance is settled.

5. Cancellation Policy

Please note: We require at least 48 hours' notice to cancel or reschedule a session without charge.

Cancellation by the Client

  • 48 hours' notice or more: no charge; session can be rescheduled where possible
  • Less than 48 hours' notice: 50% of the session fee is payable
  • Same-day cancellation or no-show: the full session fee is payable

We understand that unexpected events do happen. In cases of genuine emergency or sudden illness, we will consider requests for exceptions at our discretion.

Cancellation by the Tutor

If we need to cancel a session, we will give as much notice as possible and offer a full refund or a rescheduled session at no extra cost. In the event of tutor illness or emergency, we will notify you as soon as reasonably possible.

Scheduled holidays

We do not charge for sessions during school holidays unless a session has been specifically booked and confirmed for that period. We will always confirm holiday dates in advance.

6. Conduct & Safety

Safeguarding

We are committed to the safety and wellbeing of all children in our care. The Tutor holds an Enhanced DBS certificate. We follow safeguarding guidelines and will report any concerns to the appropriate authorities as required by law.

Online safety

During online sessions, the Client should ensure the Student is in an appropriate, supervised environment. Screen-recording of sessions by either party without explicit consent is not permitted.

Student conduct

We expect all Students to engage respectfully and constructively during sessions. If a Student's behaviour consistently disrupts learning or is inappropriate, we reserve the right to end individual sessions and/or terminate the tutoring arrangement.

Photography and recording

Sessions may not be recorded by the Client without prior written agreement from the Tutor.

7. Materials & Resources

We provide worksheets, practice materials, and session plans as part of our tutoring service. These are prepared specifically for our students and are for personal, non-commercial use only.

All materials created by us remain our intellectual property. They may not be reproduced, shared, or distributed without our written permission.

The Client is responsible for providing any specific resources requested (e.g. target school past papers, set texts from school).

8. Results & Outcomes

We are committed to providing high-quality, engaging tutoring and to working hard for every student. However, we cannot guarantee specific outcomes, including:

  • Exam results or grades
  • Pass rates for 11+ or grammar school entrance
  • Progress within a particular timeframe

Progress depends on many factors, including the Student's effort, attendance, and engagement between sessions. We will always communicate openly about how sessions are going and any concerns about progress.

9. Liability

To the fullest extent permitted by law, Little Learners Tutoring shall not be liable for:

  • Any indirect or consequential loss arising from tutoring sessions
  • Exam failures or poor academic results
  • Loss of or damage to the Student's personal property during in-person sessions
  • Technical failures during online sessions that are outside our control

Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, or for any other liability that cannot be excluded by law.

10. Ending the Arrangement

By the Client

You may end regular tutoring at any time by giving us at least two weeks' written notice. Sessions already confirmed within the notice period remain chargeable.

By the Tutor

We reserve the right to end the tutoring arrangement by giving two weeks' written notice. We may terminate immediately and without notice in cases of serious misconduct, non-payment, or circumstances that make it unsafe or impractical to continue.

Refunds

Any fees paid in advance for sessions that will not be delivered following termination will be refunded within 14 days.

11. Governing Law

These Terms and Conditions are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

These terms were last updated in March 2026. We may update them from time to time and will notify active clients of any significant changes.
